City of Wetaskiwin Archives Assessment

Consultation has concluded

Wetaskiwin City Council received the Archives Assessment Report at their regular November 22, 2021 Council meeting. Watch the recording of the report presentation here.

Following receiving the report, Council directed Administration to proceed with an analysis designed to explore the impacts to both the City and community by pursuing Option 2 and Option 3 as per the report dated November 22, 2021. Administration will bring this report back to Council for consideration by the end of the third quarter (Q3) of 2022.

Note: The Wetaskiwin Archives will remain closed to the public until Council approves an option for how to move forward with the Archives.


Project Background

  • On November 9, 2020, City Council confirmed that it would temporarily close the Wetaskiwin Archives for up to one year in order to undertake a review of the Archives function.
  • Administration engaged the Archives Society of Alberta in mid-December 2020 and were directed to an archives professional with over 35 years experience in records, archives and information management. Multiple discussions with the archives professional were had to help scope out the project and better understand the next best step forward for the Wetaskiwin Archives.
  • On March 22, 2021, Administration presented an initial project plan to the Archives Assessment Committee and received feedback.
  • On April 26, 2021, Administration presented a revised project plan for feedback. The Archives Assessment Committee provided the following feedback to assist Administration in defining the scope of the project:
    1. Ensure that the Archives is operating efficiently
    2. Better understanding of how other municipalities are using their Archives
    3. Recommendations on best type of archives for the community, how it should be governed and a clear roadmap on how to best move forward
    4. Recommendations on how we can better manage the Archives
  • In May of 2021, the City of Wetaskiwin engaged MNP to undertake an Archives Assessment to review the Archives’ current state and community needs to help guide this process. The Project Team for this project consisted of MNP and Heritage Professionals. MNP was in charge of the overall project implementation and management, stakeholder engagement and analysis. An overview of this work was provided in the final report, which was presented to City Council on November 22, 2021.
